Search, sort and filter
Find records in a table, sort, filter, change pages, and find a database or table from the left sidebar
These tools work on the table, view or collection that is open, and cover every record, not only the page you see.
Search for records
- Click the Search in box at the top left of the toolbar.
- Type what you want to find, then press Enter.
The table shows the records that match. Search reads string fields and the ID, and does not care about upper or lower case. If you type several words, a record matches if it has any one of them, and words of one or two letters are skipped.
You must press Enter every time. To see every record again, clear the box and press Enter. Clicking x at the end of the box alone does not refresh the table.
Sort
Click a column heading to sort. Click again to reverse the order. Click a third time to remove the sort. You can sort on string, number, Boolean, date and time, date, time and one-to-one relationship fields.
Filter
Columns that can be filtered have a funnel icon at the heading. They are number, Boolean, date and time, date, time and relationship columns. String fields have no filter. Search instead.
- Click the funnel icon at the column heading.
- Set the conditions in the Filter box.
- Click OK.
Clear empties the boxes. The funnel icon is blue when a filter is set. Filters on several columns must all be true, and they work together with search.
| Field type | Conditions |
|---|---|
| Number | Min value and Max value. You can enter just one. |
| Boolean | True or False |
| Date and time, date, time | Min value and Max value |
| Relationship | Click the box, then choose records in the Select data window. Remove a value with the x on its chip. The filter matches records that have any one of the chosen values. |
Change pages
The bar under the table shows the total number of records, such as 1-10 / 28445. Change Items per page to 5, 10 or 20 (the default is 10), then use the arrows to go to the next, previous, first or last page. After a search or filter, the table goes back to page 1.
Find a database or table in the left sidebar
Type in the Search database items box at the top of the left sidebar. You do not need to press Enter. The sidebar shows the databases, tables, views and collections whose name or description match, both yours and those shared with you. Clear the box to see only databases again.
Export uses the same search and filters
Export data downloads every record that matches the search and filters, not only the page you see.
